Accounts Payable Guidelines

I. Invoicing

The key to getting paid on time is presenting Diamond with an invoice at least five days before payment is due. Invoices should be clearly marked “Invoice” and should contain an invoice number and date. Do not label invoices as “Statements” which can be easily confused with monthly invoice summaries. Also, do not include original invoices with your shipments, because they are easily mistaken for packing lists, and not passed on to Accounts Payable. Mail your invoices, marked “ATTN. Accounts Payable” to:

or fax your invoice directly to Diamond, Accounts Payable Dept. (410-560-7145)       

Your invoice letterhead should include your company name, telephone/fax numbers, and most important of all, where you want the money sent. (Note: if payment is to be made to some entity other than your company, we must have a signed assignment form on file, and your invoice must be clearly marked as such).

Terms and early payment discounts (if any) should be clearly stated on every invoice. In order to expedite the payment process it is also necessary to include Diamond’s Purchase Order Number and item code (ex.1999018970-27-0001–JAN991234) on the invoice as well as the title, issue number (if applicable), quantity, retail price, and cost of each item sent to Diamond. If Diamond is being billed for freight, a copy of the freight bill should be included with the invoice.

Please be sure to coordinate your invoice dates with your shipment dates. It is Diamond’s policy to pay invoices based on the receiving date and not the invoice date. Please keep this in mind when calculating due dates. If you have not received payment for an invoice with 10 days after the due date or the discount date, contact Diamond’s AP Department immediately (see contact list below). Not receiving a scheduled payment could mean that the invoice may have been lost, misplaced, or not received or the check may have been lost in the mail.

II. Statements

All but the most infrequent Diamond Vendors should be sending Diamond monthly statements. Analysis of monthly statements is the only way Diamond has of verifying that our account with you is current. Monthly statements also allow Diamond’s AP Department to detect missing invoices before they become a problem.

By following the invoicing procedures outlined above, you can expedite payment of the money you are owed. The invoice is your primary pay document, and time spent following Diamond’s guidelines will be rewarded with prompt payment. Please remember that Diamond’s Accounts Payable Department is here to assist you and to answer any questions you may have concerning your payment.
